Services Required 
The Advance program is looking for 2-4 Organizational Change Management (OCM) Experts with extensive change management experience. This role requires individuals who have worked on large, complex, and multi-stakeholder transformation technology implementation projects with a focus on Clinical Information Systems (CIS) in the health care sector.   

The OCM roles will focus on supporting the execution related to both communication and change activities in alignment with the Master Project Plan.  The roles will specifically support the following:

  1. Wave 1 Site – OCM Expert
  2. Wave 2 Site – OCM Expert
  3. Provider Engagement – OCM Experts

Site Specific – OCM Experts. 
The Organizational Change Management (OCM) Expert will work as a senior member of the Organizational Change Management (OCM) team and the primary OCM Experts assigned to liaise and support OCM activities associated with the sites. The role will support and help execute on the OCM strategy and plan associated with a complex health information system implementation. 
Each of the OCM Experts will have the following change management accountabilities as well as specific accountabilities based on the OCM areas of the program they are responsible to lead, support and drive day-to-day activities. 
This position will play a pivotal role in driving the organizational change management strategy and plan in collaboration with the Stakeholder Engagement & Adoption Lead.  The execution of change management activities will be delivered in support of overall program timelines, scope and expected benefits.
The OCM Experts will work closely with other change management specialists and site readiness teams at the various acute care sites as well as with non-clinician stakeholder groups.
It is critical that this individual has been a successful team member in delivering on Organizational Change Management programs and understands the importance of ongoing alignment and interdependencies on large complex CIS implementations. The candidate must have the ability to succinctly describe technical and clinical CIS concepts to the different audiences with different levels of understanding.

 

Common Responsibilities
The Organizational Change Management Expert will work both across and within the established program governance and delivery work streams (i.e., clinical, technical, integration and key 3rd party solution vendors) to support various activities as guided by the Organizational Change Management Expert. This role will be accountable for the quality delivery of OCM activities while ensuring ongoing responsiveness to both the program and organizational needs.

The following highlights the key responsibilities of this role:

  • LIAISE WITH SITE LEADERSHIP – act as the primary liaison and support for the site to identify their needs, as well as, understand the site level change management priorities to inform the overall OCM activities;
  • CHANGE MANGEMENT PLAN, REPORTING AND CONTENT DEVELOPMENT – Contribute to and support the development of OCM plans, deliverables, and activities (e.g., engagement and communications activities, end user facing materials, toolkits, status updates, presentations/updates). This includes ensuring that all deliverables consider both the needs of the Region and Site (e.g., Eagle Ridge Hospital). The OCM Expert is responsible for providing regular progress updates against plan to the OCM team for reporting up through the governance layers.
  • QUALITY/ALIGNMENT / CONSISTENCY    
    Ensure quality and consistency of all plans and OCM materials in alignment with standards set out by the program and organizational change management.   Also ensures consistency of messaging with other program team members including the Training Lead, Communications and Engagement Lead and the Provider and Clinician Engagement Lead.  Ability to flex and adapt to overall program activities, dependencies, and timelines.

This role will need to closely collaborate and partner with other program team members to consider the evolving OCM needs of the program and impacted stakeholders at both the regional and local level.  

  • CHANGE MANAGEMENT:   Must have a strong understanding of change management principles, practices, and approaches and proven success in executing on a change management plan.  Must be able to assess the effectiveness of change activities and pro-actively identify any potential risks that may impact the success of the OCM plan and ultimately the program. Must employ strong relationship building skills and be pro-active in seeking information, gaining knowledge, and applying it to all change management activities. Based on program progress, this role will need to help identify ways to pivot and adjust to ensure goals are being met throughout
  • TRANSFORMATION NETWORK SUPPORT – Coach, mentor and support the site Transformation Network in the day-to-day delivery of OCM activities. This role will be required to work closely with site staff to support and empower them in implementation activities. This may means tailoring the Regional OCM approach to local site needs.
  • COLLABORATIVE AND TEAM PLAYER – Must bring successful experience in nurturing a collaborative environment, and ability to provide mentoring and coaching to others in supporting roles who aid in the execution of OCM activities and day-to day delivery.   Must also bring experience in working as a team player on large teams working within OCM on a large program.
  • AD-HOC SUPPORT – Given the complexity and volume of work anticipated across all the teams, support ad-hoc requests as directed by the OCM Lead.  Contributes to the creation and execution of regional and site communication plans, content, and materials to support awareness, change management and adoption in alignment with the OCM strategy and plans.
 

Knowledge Transition – Mandatory
While the client is looking for providers in this phase, the overarching guiding principle and goals of the “Advance program” is to manage the implementation with internal resources given the long-term nature of the project.  With this in mind, a key expectation is the effective transition of knowledge through-out the course of the contract by the consulting firm to internal resources.

Specific Qualifications or Experience Required: 

  • Proven success in delivering change activities on large, complex CIS / HIS implementation projects. Understands how to manage technology changes and programs within an enterprise environment.
  • Healthcare experience
  • Strong visual presentation and content development experience.
  • Must be relationship focused and a strong team builder. Experience in working in large teams within a multi stakeholder environment (e.g., vendors and staff).
  • Must be solution oriented with an ability to adapt OCM strategies, plans and activities as a result of changing program and organizational needs. Includes ability to guide oneself and the OCM team through such changes.
  • Mentoring and coaching skills to guide and motivate team members both within OCM and at Site (as required).
  • Excellent written and oral communication skills in a clinical healthcare environments. Includes experience in facilitating conversations with executive leadership and frontline staff.
  • Ability to translate clinical and technology concepts into meaningful communication mediums, tailored and appropriate for audience, channel, etc. for Clinical Information System / Hospital Information System Transformation
  • Acute attention to detail.
  • Must be competent in MS Office programs, including Excel, Word, PowerPoint, Visio, and Project
  • Must be able to work independently to solve problems.
  • Creative with strong visual communication experience (e.g., executive level presentations that tells a story with crisp graphics).
  • Self-motivated, problem solver and critical thinker.
  • Collaborative and able to work with diverse stakeholder groups at all levels of an organization.
  • Excellent analytical skills, people skills, written and oral communication skills.
